3 Tips To Get You Familiar With Facility Management Softwares

If you have fiddle around at at least access any maintenance or facility management software, you will notice that it takes a while for you to familiarize yourself before you get the hang of it. Let us say that you never done facility management job before and suddenly, your management suddenly decided to relocate you to a maintenance division and you are required to handle the management of it. You are then given a set of software to run and do your work and you are just given a short training before you get comfortable with it. What do you do? Here’s some tip to overcome this problem:

Tip Number 1

When you get to your office, before you do anything, stare at the main dashboard for at least 5 minutes. This is for you to digest what button and features the software has. If that went well, don’t be afraid to click around. Just don’t click on the ‘delete’ though.

Tip Number 2

Be familiar with the jargons of the software. If you don’t understand any of the terms, go to help and look up on the glossary. Don’t spend too much time on the help because it will eat up a lot of time, only refer to help as a reference point and not your tutorial. If you have no idea on what you are dealing with, you can always go online, search on Google or Wikipedia for some explanation.

Tip Number 3

Search for tips and tricks or do some small experiment using the software to find shortcuts so that you can save up time. The purpose of having software is to save time, it is almost the same as having a calculator, you save time by not having to struggle counting using your head.

Bottomline, if you focus, spend time and do your work properly, you’ll get the hang of these maintenance management softwares.

Free Web Based Project Management Application

Last month, we discovered a web-based application called JotSpot. As a small company and a group, we value low cost application to lower our overhead. After reading about what JotSpot Wiki could do plus it offers a free personal account, we opened up an account there. The purpose was to handle our company’s information online without ever hosting ourselves. After fiddling around the web-based application (we wanted it to handle our small project management group), we found out that we need more of the features and we had to pay for that:

Since it’s a paid service, it put us off on using this. So today, we found out:

Now this is a good sign of free usage for this fantastic tool. We can’t wait for its relaunch.

Choosing The Right Facility Management Solution For Small Organization

This is a preliminary part of how to choose the right solution for your Facility Management Program in your organization. We are laying out a few more parts and finalize it when we are done. Our objective is to share as much information for your benefit. Let’s not waste anymore time shall we.

To determine what level your organization is at, we normally categorize the need based on the measurement of area of the office, branches or facilities. For example, the smallest solution that we offer is for facilities measuring less than 100,000 square feet (9,300 square meters). To imagine that, a full size soccer pitch is between 100-130 yards (90-120 meters) long and 50-100 yards (45-90 metres) widths. So, the total area let’s say we take the maximum measurement would be 13,000 yards. To avoid confusion, we’ll standardize the measurement metrics to square meters. So, that would mean a soccer pitch would be 10,800 square meters in total area.

So, a facility that is more or less has the measurement of a soccer pitch, you can choose to have our smallest solution. Here’s another question, how do we measure the area of our premise? Of course we don’t want to do that physically, this is where drawings come into place. By using AutoCAD drawings, we could easily total up the measurement of the area with a click of a mouse. The solution that we recommend as a start is:

ARCHIBUS/FM Express

This small solution is limited to a single site or one postal code and can easily used by administrators and clerical staff. The only drawback is it can only be used by one person and has limited amount of records. Well, for a small size organization, I don’t see any reason for many people to access such information since it’ll cost more on wages.

So, instead of having many people handling the same information, only one person is sufficient if the person is properly trained. Either way, having useful records in a scalable application such as ARCHIBUS/FM is the best investment an organization, big or small would ever need.
